Last updated: 22 September 2026
1. Who we are
B DIGITAL LIMITED, trading as BDigital (“we”, “us” or “our”), provides the BDigital digital signage app and associated online dashboard.
This policy explains how we handle personal information when you register, manage screens, upload content, pay for a subscription or contact us.
We are the data controller for personal information used to manage our customer relationships, accounts, billing and business operations.
You can contact us at:
- Email: support@bdigital.co.uk
- Telephone: 0115 979 4330
- Contact address: 19 Northern Court, Nottingham, NG6 0BJ, United Kingdom
- Company number: 08657358
2. Information we collect
Depending on how you use our service, we collect:
- Account information: your name, email address, telephone number, business name, address and account credentials.
- Subscription and billing information: subscription details, invoices, payment references, transaction history and payment status.
- Screen and content information: details of connected screens, settings, playlists, schedules and uploaded images, videos or other content. Uploaded content may contain personal information.
- Technical information: IP addresses and information about devices connecting to our service.
- Usage information: information collected through Google Analytics about interactions with the app and website.
- Support information: messages, attachments and information you provide when contacting us.
We receive information directly from you, from your organisation when it manages your access, automatically through use of the service, and from providers supporting analytics and payments.
3. How we use information
We use personal information to provide and administer the digital signage service, manage subscriptions, deliver content to connected screens, provide support and meet our legal obligations.
Our legal bases under UK data protection law are:
| Purpose | Legal basis |
|---|---|
| Creating an account and supplying services you purchase personally | Performance of our contract with you |
| Managing accounts and providing services where you represent a business customer | Our legitimate interests in delivering and administering that business’s service |
| Processing subscriptions and payments | Contract, or legitimate interests where you represent a business customer |
| Identifying connected screens, troubleshooting and estimating location from IP addresses | Our legitimate interests in operating and supporting the signage service |
| Keeping accounting and other legally required records | Compliance with legal obligations |
| Handling complaints and establishing or defending legal claims | Our legitimate interests in resolving disputes and protecting our legal rights |
| Website Google Analytics | Consent |
Where we rely on legitimate interests, we must balance those interests against your rights and reasonable expectations.
The Android app’s analytics arrangements are described in section 5.
Some information is necessary to create your account, provide the service or arrange payment. Without it, we may be unable to provide the relevant service.
4. Payments
We use Stripe and GoCardless to process payments through their hosted payment pages.
Card and bank account details entered on those pages go directly to the payment provider and do not pass through BDigital’s servers. We receive the billing and transaction information needed to manage subscriptions, reconcile payments and provide support.
These providers also process information for their own purposes, including legal compliance and fraud prevention. Further information is available in their privacy notices:
5. Google Analytics and device storage
We use Google Analytics to understand how our digital services are used and identify improvements.
Analytics can collect information such as device and software characteristics, app or browser identifiers, interaction events and approximate location. The information collected depends on the analytics configuration.
Website: Google Analytics is enabled only after you accept it. You may refuse consent. You also have the right to withdraw consent; contact support@bdigital.co.uk for assistance.
Android app: Google Analytics currently runs automatically. The app does not currently offer a setting to switch it off.
Before publication: the Android analytics configuration, lawful basis, retention settings and consent or objection mechanism must be reviewed and documented. This paragraph describes the current behaviour; it does not establish that the processing meets legal requirements.
Cookies and similar device storage may also support essential functions such as authentication, maintaining sessions and delivering requested content. These functions are separate from optional website analytics.
You can read more about Google Analytics data handling and Google’s Privacy Policy.
6. Google Play
Our Android app is distributed through Google Play.
Google separately handles information associated with its store, your Google account, downloads and updates under Google’s Privacy Policy.
Downloading the app through Google Play does not itself give BDigital access to all information in your Google account.
7. Hosting and sharing information
Our app hosting and uploaded-content storage are located in the United Kingdom. We use Snappy Host Limited, Amazon Web Services (AWS) and Linode to support our hosting infrastructure.
We share information where necessary with:
- Our hosting providers to operate and store service data.
- Google for the analytics described above.
- Stripe and GoCardless for payments.
- Professional advisers where needed for accounting, legal advice or disputes.
- Authorities where disclosure is required by law.
Providers processing personal information on our behalf must do so under appropriate contractual terms.
Our UK hosting arrangements do not mean that every activity performed by Google, Stripe or GoCardless takes place exclusively in the UK. Their privacy notices explain their international processing arrangements.
Where we are responsible for a restricted international transfer, appropriate protections are required, such as UK adequacy regulations or approved contractual safeguards. Contact support@bdigital.co.uk for details of the safeguards applicable to your information and how to obtain a copy.
8. Personal information in uploaded content
Customers choose the images, videos and other content uploaded to their accounts and displayed on their screens.
Where that content contains personal information and we process it solely on the customer’s instructions, we act as a data processor. The customer is responsible for deciding why that information is used, having an appropriate legal basis and providing any required privacy information.
Information displayed on a screen may be visible to people who can see that screen.
Requests concerning personal information in a customer’s signage content should normally be directed to that customer. We will assist with those requests as required.
9. Retention and deletion
We retain information while it is needed to provide and administer your service.
Our standard retention period following subscription cancellation is up to five years. Information must be deleted sooner where it is no longer necessary for its purpose or where an applicable deletion request requires this.
You can request earlier deletion of your account information and uploaded content by contacting:
We complete applicable deletion requests within 30 days, including deletion from our backup copies. We will also meet any shorter statutory deadline that applies.
We may need to verify your identity or authority before deleting information associated with an account.
Certain records may need to be retained to meet legal obligations or establish, exercise or defend legal claims. Where this applies, we will explain what information is retained and why, and limit its use to the relevant purpose.
Payment providers may retain information independently where required for their own legal and regulatory obligations.
10. Protecting information
We are responsible for applying technical and organisational measures appropriate to the personal information we process and the risks involved.
Please keep your account credentials confidential and contact us promptly if you suspect unauthorised access.
11. Your rights
Depending on the circumstances, you have the right to:
- Request a copy of your personal information.
- Correct inaccurate or incomplete information.
- Request deletion.
- Request restrictions on processing.
- Object to processing based on legitimate interests.
- Receive certain information in a portable format.
- Withdraw consent where processing relies on consent.
- Object to any use of your information for direct marketing.
Withdrawing consent does not affect the lawfulness of processing carried out before withdrawal.
To exercise your rights, contact support@bdigital.co.uk. Requests are normally free, and we normally respond within one calendar month. If a lawful extension applies, we will explain the reason and revised timeframe.
12. Complaints and policy updates
You can raise a privacy complaint using the contact details in section 1. We will acknowledge it within 30 days, investigate without undue delay and keep you informed of progress and the outcome.
You also have the right to complain to the UK Information Commissioner’s Office through the ICO’s complaints page.
We may update this policy when our service, practices or legal requirements change. The revision date will appear at the top, and we will bring significant changes to your attention where appropriate.
